London Bedrooms & Kitchens Ltd, registered in England & Wales under company number 10755969, registered office 5 Ross Close, Hayes, England, UB3 1TS, designs, manufactures and installs bespoke fitted furniture for homes across Hayes and West London.

In this policy, “we”, “us” and “our” refer to London Bedrooms & Kitchens. We are the data controller for the personal information described here, which means we decide how and why it is used. You can reach us at sales@londonbk.co.uk or on 07534 343535.

Information we collect

When you complete an enquiry form on this website, we ask for your name, phone number, email address, the service you are interested in, and any message or project details you choose to include.

If you contact us by phone, email, WhatsApp or social media instead, we collect whatever information you share in that conversation. If your enquiry progresses to a design visit or quotation, we will also hold your installation address, property and room details, measurements, design drawings, and records of the work quoted or carried out.

Our hosting and security infrastructure records limited technical information when you visit, including your IP address, browser type and version, device type, pages viewed, and the date and time of your visit.

We do not request or need special category data, such as information about health, ethnicity, religious beliefs or political opinions. Please do not include information of this kind in an enquiry message. We do not take card or bank details through this website.

How we collect it

We collect information through the enquiry forms on our homepage and contact page; direct contact by phone, email or WhatsApp; messages and comments on our Instagram and Facebook pages; automatically through server logs; and occasionally through referrals from an existing customer, architect, builder or trade partner who passes on your details with your knowledge.

Our enquiry forms include a hidden anti-spam field. It is not visible to you, does not need to be completed, and exists only to filter automated submissions.

Why we use it, and our lawful basis

Under UK GDPR, we must have a valid lawful basis for using your personal information. These are set out below.

• Responding to your enquiry, arranging a design visit and preparing a quotation - taking steps at your request before entering into a contract.
• Designing, manufacturing, delivering and installing your fitted furniture - performance of our contract with you.
• Handling aftercare, guarantees, remedial visits and complaints - performance of our contract, and our legitimate interest in standing behind our work.
• Keeping records of quotations, invoices and completed projects - legal obligation for tax and accounting, and our legitimate interest in maintaining accurate business records.
• Photographing completed projects for our portfolio and social media - your consent, requested separately and which you can withdraw.
• Sending occasional marketing about our services - your consent, or our legitimate interest where you have previously enquired about similar services. You can opt out at any time.
• Protecting the website from spam, fraud and misuse - our legitimate interest in keeping the site secure and operational.

Where we rely on legitimate interests, we have considered whether those interests are outweighed by your rights and freedoms. You can object to this use at any time.

Cookies

We use cookies on this website. We do not currently use analytics, advertising or tracking cookies - only those strictly necessary for the site to function and stay secure.

Who we share it with

We do not sell your personal information, and we do not share it for anyone else's marketing. We share it only where necessary to run our business: with the providers who host londonbk.co.uk and route enquiry submissions to our inbox; the email, messaging and record-keeping tools our team uses day to day; suppliers, manufacturers and fitters where your address or project details are needed to manufacture, deliver or install your furniture; professional advisers such as accountants, insurers or legal advisers where genuinely required; and authorities where we are legally obliged to disclose information.

Anyone processing personal information on our behalf is bound by contract to keep it secure and to use it only for the purpose we have given them.

International transfers

Some service providers we rely on, particularly hosting and email platforms, may store or process data outside the UK. Where that happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the International Data Transfer Agreement, so that your information continues to receive an equivalent standard of protection.

How long we keep it

• Enquiries that do not lead to a project: up to 24 months from your last contact with us.
• Customer project files, designs and correspondence: for the duration of your guarantee, plus 6 years.
• Invoices and financial records: 6 years after the end of the relevant financial year, as required by HMRC.
• Marketing consents: until you withdraw them. We retain opt-out records so we can honour your choice.

When information is no longer needed, we securely delete or destroy it.

Keeping it secure

This website is served over an encrypted HTTPS connection, and enquiry data is transmitted securely. Access to customer records is limited to team members who need it to do their job, and our accounts are protected with strong authentication.

No method of transmission over the internet is completely secure, so we cannot guarantee absolute security - but we take reasonable and proportionate steps to protect your information. If a breach occurs that is likely to result in a risk to your rights and freedoms, we will report it to the Information Commissioner's Office within 72 hours and tell you where required.

Your rights

Under UK data protection law, you have the right to request a copy of the personal information we hold about you; correct information that is inaccurate or incomplete; request deletion where we no longer have a good reason to keep it; limit how we use your information while a query is resolved; object to processing based on legitimate interests and to direct marketing; receive certain information in a portable, machine-readable format; and withdraw consent at any time where consent is our basis, without affecting earlier processing.

We do not make decisions about you by automated means and we do not use profiling.

To exercise any of these rights, email sales@londonbk.co.uk. We will respond within one month. We may ask you to confirm your identity first, so that we do not disclose your information to the wrong person.

Third-party links

Our site links to external platforms including WhatsApp, Instagram and Facebook. Once you follow one of those links, the relevant platform's own privacy policy applies to how it handles your information. We have no control over it, and this policy no longer covers you. We encourage you to read the privacy notice of any site you visit from ours.

Children's privacy

Our services are aimed at homeowners and this website is not directed at children. We do not knowingly collect information from anyone under 16. If you believe a child has given us their details, contact us and we will delete them.

Changes to this policy

We may update this policy from time to time to reflect changes in how we operate or in the law. The current version always appears on this page, with the date it was last updated shown at the top. Where a change materially affects how we use your information, we will make that clear.

Complaints

If you are unhappy with how we have handled your personal information, please tell us first at sales@londonbk.co.uk - we would always rather put things right directly.
